How to compress a PDF for email

  1. Step 1: Select or drop the PDF you want to attach.

  2. Step 2: Keep the Recommended level and click Compress PDF.

  3. Step 3: Download the lighter file and attach it to your email.

Why attachments get rejected

Gmail accepts attachments of up to 25 MB and Outlook.com up to 20 MB, but files are encoded for sending, which adds roughly a third to their size. A PDF just under the limit can still bounce, and business mail servers often stop at 10 MB.

Recommended compression keeps text perfectly sharp and images clear on screen, which is all your recipient needs to read a contract, a quote or a report. A smaller attachment also opens faster on a phone and doesn't fill up anyone's mailbox.

Sending several documents? Merge them into a single PDF first, then compress the result: one tidy attachment is easier to handle than five.

Frequently asked questions

What size should a PDF be for email?

Aim for under 10 MB to be safe with most providers and company servers. Under 5 MB is even better if your recipient reads email on a phone.

Will the recipient notice a loss of quality?

Rarely. The Recommended level only brings images down to a resolution suited to screens; text and vector graphics are left untouched.

Can I compress several PDFs at once?

Yes. Select up to 10 PDFs: each one is compressed separately and you download them together in a ZIP file.

Is my document stored anywhere?

Only briefly. The upload is deleted after processing and the compressed file is removed automatically after 30 minutes, or immediately with Delete now.
